Guide · Vendor Registration

How to become a government vendor

Registration is the part most owners start three times and never finish, usually because they begin before they have the documents in hand. Gather this first, then register once.

Gather before you start

  • Legal business name exactly as it appears on your formation and tax records
  • Entity type and formation documents
  • Federal tax identification number
  • Business physical address and mailing address
  • Bank account and routing details for electronic payment
  • Business start date and fiscal year end
  • Ownership details, including percentages, for designation eligibility
  • Any state, county or city licenses your work requires
  • Insurance certificates you already carry

Keep your record active

  • Renew your federal registration before it lapses, not after
  • Update your record the same week anything changes — address, banking, ownership, size
  • Recheck your industry codes and their size standards annually
  • Keep insurance certificates and licenses current on file
  • Re-date your capability statement whenever an identifier or designation changes

An expired registration looks identical to no registration from a buyer's side.

Where to register

Four levels of government buy from small businesses

Federal

One free registration with the government creates the record buyers verify you against. It must be renewed on a schedule or it goes inactive and you disappear from searches.

State

Most states run their own vendor or supplier portal, plus separate small business and diverse business certification programs with their own applications.

County and city

Local governments buy constantly and competition is far smaller. Each maintains its own vendor list, and registering is usually a short form plus your documents.

Institutional

School districts, transit agencies, hospital systems, utilities and universities buy on their own portals and are frequently overlooked by new vendors.

Record it all in one place

The Government Vendor Readiness workbook gives you a repeatable page for every state, county and agency you register with, plus your codes, identifiers and renewal dates.
